The following
survey should be conducted when contemplating the purchase of an
air conditioner. This information should be relayed to the vendor,
not Office of Purchasing Management, who will advise the using agency
of the proper BTU or Model number to be ordered.
1. Approximate
size of room should be measured. Three dimensions: width, length,
and height from
ceiling to floor must be taken into consideration. Please note whether
air can escape from the space to
be cooled, e.g., if partition walls do not extend up to ceiling,
or entrances do not have doors.
2. Existing
voltage, must be checked unless line is to be changed. Units operate
on specific
voltage and amperage requirements. Electrical line, fuse/breaker
box, and/or receptacle
outlet may have to be changed to conform with grounded-plug configuration.
This information
should be available from building custodian. Please note that receptacle
outlet must be within
four (4') feet proximity of the air conditioner, as adapters and
extension cords are not available
and are illegal for aid conditioner connections, per the Administrative
Electrical Code of the City
of New York (especially for 208 volt units). It is strongly recommended
that power be available,
so that unit can be tested upon installation.
3. Anticipated
number of occupants in the room must be determined, as people generate
heat.
4. Type of lighting
(incandescent or florescent) and number of bulbs must be noted.
For florescent
lighting, the bulb size - 4 feet or 8 feet must be indicated. For
incandescent lighting, the wattage
should be supplies.
5. Determine
the exposure of the room - North, East, South or West.
6. Any heat
generating equipment and their approximate size or wattage must
be provided if known.
Example - number or computer printers, terminals, disc drives, or
telephone equipment.
7. Approximate
size of glass opening for exterior windows must be indicated.
Additional
Considerations:
1. Each borough
of this contract consists of eleven (11) different air conditioner
sizes and thirteen
(13) labor/service component items. These additional and optional
labor/service items should be
consulted before commencing with a purchase order to vendor, as
they may relate to your particular
window situation. Please note that the base price of an air conditioner,
installed, is only for the basic
unit, bottom mounted with industry standard hardware (interior mounting
bars and outside support
brackets) in a window less than 40" wide.
For example,
the type of window (if not double hung), over 40" wide, top
mounted and distance from
floor (-1/2' to 10' or over 10'), removal of any existing air conditioner,
cutting of wire mesh security gates,
ritter frame, and inside mount all require additional surcharges
as indicated in the price schedule. Please
keep in mind that the vendor is not under any contractual agreement
to install the air conditioner if any of
these items are required and missing from the purchase order, and
may stop the job until a Change
Notice is received.
2. Purchase
orders should indicate whether sidelites (space(s) between air conditioner
and window (jamb)
are to be filled with standard opaque masonite filler or clear plexiglass
filler at no additional charge.
While plexiglass is decoratively more attractive, masonite may be
more functional if room darkening is
desired, especially for top mounted units.
3. The condition
of the window frame should be examined to see if it has weathered
badly. If the
window frame has deteriorated of there is doubt about its' structural
integrity to support the weight
and stress of an air conditioner, one of the following actions should
be taken: (a) A new metal
sash window should be installed, or (b) A ritter frame (supporting
cradle installed into window
jambs and sill) should be ordered in conjunction with the air conditioner.
Ritter frames are also
required for upper mounted units and where building regulations
specify this hardware is required.
Ritter frames should also be considered in Windows located over
areas accessible to pedestrian
traffic.
4. Purchase
orders should specify the room number and/or occupant's name and
the window
location within the room (left facing, center, right facing, by
exposure direction, etc.).
5. Under the
terms of this contract, purchaser orders may be sent directly to
vendors on a manual
basis or generated by MGO through a Bureau of Supplies list item
requisition. However, there is
one item on this contract than can only be ordered on a manual direct
purchase order. That item
is a deduction for non-installation. In the event an air conditioner
is to be purchased on a furnish
only basis, for installation by someone other than the vendor, this
item should only be ordered on a
manual direct purchase order and this rebate deducted from the total
amount of the order. The Office
of Purchasing Management MGO system has no provision for negative
dollar amounts and will not allow
or this deduction on your behalf. Furthermore, should this item
number appear on an MGO, it will
erroneously be added in a double positive accounting.
6. A liaison
should be established at the installation site, and that person's
name and
telephone number should appear on the purchase order, so that the
vendor can call when
ready to install, or in the event the vendor has any further questions.
7. Please keep
in mind that air conditioners, installed are Class regulated items
and are subject to
approval by Bureau of Supplies Inspection Personnel.
8. Please consult
general contract information for the vendor servicing your particular
borough. Air
conditioner and labor/service prices are contingent upon location
and are different for each
borough. A purchase order sent to the wrong vendor, will be returned
unfulfilled.
9. CAUTIONARY
NOTE: The vendor MUST be contacted when using a ritter frame or
the air
conditioner will be installed into other than a double hung window
(example, casement or hopper
type). Window dimensions will have to be verified to determine if
additional hardware or sleeve
can be accommodated by the window opening.
